Please find below a list of the most commonly asked questions from UK employees relating to coronavirus (COVID-19).  We will continue to update this information as the situation unfolds. I have a holiday booked and cannot travel. What should I do?

It’s important to consider that we all need time to recharge and relax and employee wellbeing is critical at this time. Please consider still taking holidays and staying at home.

If your line manager agrees to your holiday dates being changed, then please action this in Workday. Here’s a guide on how to do that.


I would like to change holidays that I have already booked in Workday. Can I do so?

Please discuss this with your line manager as it might be possible to change your dates. It’s important to consider that we all need time to recharge and relax, so you might want to consider still taking holidays and staying at home.

I would like to cancel holidays that I have already booked in Workday. Can I do so?

Yes you can, although it’s important to consider that we all need time to recharge and relax so you might want to consider still taking holidays and staying at home.

Please note that we are not changing any of our carry over holiday policies for this year, so please ensure you have a plan on how you are going to take holidays. 


I have carry over holidays that I cannot use because they lapse. What should I do?

The approach is slightly different in each of our central locations, although our overall aim is the same – to be as reasonable as possible during the coronavirus pandemic to help balance the needs of the business with the needs of employees.

In addition, the health and wellbeing of our employees is vitally important and we all need to take time to relax and recharge even if our travel plans have changed.

Please note that we are not changing any of our holiday policies, so please ensure you book your holidays.

As per our existing policy, all 2020 carried over holidays will have to be used by the end of March 2021.

If you have concerns about your holidays, please speak to your line manager or People Services.


I have bought additional holidays but would like to change my mind now. What can I do?

As a gesture of goodwill, and to recognize the unusual circumstances this year, we have reviewed our normal approach to holidays bought, which normally cannot be modified once confirmed.

We have individually contacted employees who had bought holidays and given them a one-off opportunity to change their election.


I would like to buy more annual leave, as I would like to spend more time with my family during this time. What are my options?

We encourage everyone to take holidays. If you have used all your holiday entitlement and need more time off due to the coronavirus pandemic, please discuss this on a case-by-case basis with your line manager or People Services.


I would like to take time off to volunteer to support the coronavirus effort. Will the company support me?

In the US, we already have a volunteering policy which allows for one day (eight hours) PTO for volunteering, subject to line manager approval.

Recently we aligned this approach in both the UK and NL, which allows for one day off (eight hours) for volunteering, subject to line manager approval. Visit My People Hub for more details.


I would like to flex my hours of work to do some local volunteering to support the coronavirus effort. Will the company support me?

A number of people have asked whether they could flex their hours of work to enable them to do some local volunteering. If this can be managed in conjunction with people’s day job in order to support the coronavirus effort (ie..NHS, Red Cross), then this can be discussed and agreed with your line manager.
